SchoolProtect - Scheduled Reports
What Report?
Scheduled and On Demand reports can be generated by SchoolProtect. These are in addition to the dashboard that is available. We recommend that DSLs make use of the dashboard on a day-to day basis to get an overview of the filtering and user activity across the school. Then utilise the reports to analyse high level trends, report to governors or investigate a particular user or concern.
Scheduled reports help to see particular whole school trends. You can run these at intervals decided by the school (monthly perhaps). These reports can then be emailed to particular individuals at the intervals dictated. We would recommend you set up scheduled reports for top allowed sites and categories, and also top blocked sites and categories. These, alongside the Adult Content and Prevent ones, are most useful for your regular checks. There will be a fair bit of 'noise' in these as remember that background processes will generate logs, so look at a high level for general trends (look at the top 50 or 100 for example) and see whether there is anything of interest or concern in the lists or anything unusual.
On Demand reports are best used to support any specific concern, query or investigation into a user or incident.
Creating Scheduled/On demand Reports:
Step1 - Choose whether you want a report straight away (On demand), or if you want to schedule this (Scheduled report):

We recommend choosing 'Summary' to provide more useful information for schools.
Then choose the report you would like to generate from the drop down list that appears.

Step 2 - Decide on the time frame for the reporting data or how often you wish the report to run.

Step 3 - Select the relevant policies to report against

Step 4 - Give the report a title, and tick the box to be emailed when the report is ready.

These reports will appear under View Reports. Depending on the options you've selected, they will appear in either Scheduled Reports, or On-demand Reports:

Emailing Reports:
You can set up Scheduled reports to be emailed to particular individuals at a desired frequency. To do this, go through the steps above and when you get to step 4, add the email addresses for any users who need to be sent the reports.
To add multiple users, put a comma between email addresses but no spaces e.g. abc1@abc.com,abc2@abc.com

This report will now be emailed to the accounts listed at the frequency chosen. The list of recipients can be edited at any time by going to 'View Reports' and clicking edit for the report requiring editing.
