Migrating from the Legacy LGfL FSM Checker to the New FSM System
If your school has previously used the legacy LGfL FSM Checker and you wish to transfer data to the new system, follow the steps below. This guide explains how to export data from the old system and import it into the new system using a template.
Note: The bulk upload feature shown in this guide can be used for any applications you wish to submit on behalf of parents in bulk, not just for data migration.
Prerequisite
Before starting, please ensure you have access to the new FSM Checker. If you do not already have access, complete the form on the LGfL website to request access.
1. Log in to the Legacy FSM Checker
- Go to pps.lgfl.org.uk.
- Click School FSM Administrators Login.
- Scroll down to the Reports section.
2. Export Your Existing Data
- In the Reports section, you’ll see two tabs:
- Full details of FSM eligibility checks
- FSM eligibility checks for children not matched to school data
- Select each tab and click Export to Excel to download the data.
- We would suggest storing these files securely for reference as they may be useful in the future.

3. Access the Bulk Upload Tool in the New FSM Checker
- Log in to the new FSM Checker.
- From the left-hand menu, select Bulk Checks.
- Then click Bulk Upload in the top right-hand side of the screen.
- On the popup that appears, download the template spreadsheet - you will use this template later to upload your data.

4. Review and Clean Your Old Data
Before filling in the template you just downloaded, review the spreadsheet(s) you downloaded in step 2.
- Remove any outdated or unnecessary rows.
- Keep only the records that are still relevant and that you wish to upload to check FSM eligibility.
- Even if a parent is not currently eligible, it is worth including them as they may become eligible in the future.
5. Prepare the New Template
- Copy and paste data from your old spreadsheet(s) into the template. Once you are happy with the data, save the completed template file to your computer.
- Be aware:
- The column order and headings are slightly different.
- Some fields from the old system spreadsheet are not required in the template.
- Relationship is a new field.
- The fields in bold below are required fields on the new template. Any others can be left blank.
- Once submitted, you can edit any applications to add missing data, add notes and any other edits required.

6. Upload to the New FSM Checker
- Return to the Bulk Upload page in the new FSM Checker.
- At the bottom of the Bulk Upload popup, that was visited in step 3, click Select File and select your completed template from your computer.
- The applications on the spreadsheet will then be processed which usually takes less than 10 minutes. You will receive an email once the upload is complete and eligibility has been checked. A completed timestamp will also appear on the page.
