Migrating from the Legacy LGfL FSM Checker to the New FSM System
If your school has previously used the legacy LGfL FSM Checker and you wish to transfer data to the new system, follow the steps below. This guide explains how to easily export data from the old system and import it into the new system in three simple steps.
Prerequisite
Before starting, please ensure you have access to the new FSM Checker. If you do not already have access, complete the form on the LGfL website to request access.
Step 1. Download Your FSM data from the Old Checker
- Go to pps.lgfl.org.uk.
- Click School FSM Administrators Login.
- Scroll down to the Reports section and select generate a full CSV export. This will download a spreadsheet containing all your school’s FSM data in the correct format for uploading to the new checker.

- The other export options on the website include extra data but are not in the correct format for uploading.
- If you download any of these files, please store them securely as they contain sensitive personal data.
Step 2. Review and Prepare Your FSM Data for Upload
- Before uploading to the new checker, review the spreadsheet carefully:
- Remove outdated, incomplete, or unnecessary rows.
- Keep only records that are relevant and should be checked for FSM eligibility.
- Include all children, even if they are not currently eligible for FSM, as eligibility may change in the future.
- Once reviewed, save the completed template file to your computer.
- Additional notes:
- Some fields from the old system are not required in the new template and there is a new field on the new system for relationship.
- Fields in bold are required on the new template; other fields can be left blank.
- After submission, you can edit applications to add missing data or notes.

Step 3. Upload Data to the New FSM Checker
- Log in to the new FSM Checker.
- From the left-hand menu, select Bulk Checks, then click Bulk Upload at the top right of the screen.
- In the Bulk Upload popup, click Select File and choose your completed template from your computer.
- If there are any issues with the spreadsheet, an error message will appear. Correct the issues and re-upload the CSV file.
- The system will process the applications, usually within 10–15 minutes. You will receive an email once the upload is complete, and you can view the results on the Bulk Check page. All uploaded applications will also appear on your Home page.
